Funds donated to this page will be used by the John Roan School Association to help fund the activities of the Model UN team, teaching the nearly 15 children involved about international affairs and giving them invaluable debating and other important skills.
More information about THE JOHN ROAN SCHOOL ASSOCIATION: The John Roan School Association has three main aims. To engage and improve communications with the larger school community by holding events and with parents at events in school. To raise funds and support the school community, especially those facing hardship and to financially support the students and teaching team with activities and experiences above and beyond the school curriculum.
Terms of Reference of this Fundraiser:
Objective - The purpose of this ‘term of reference’ document is to act as a governance document for decision making, management of funds, fundraising committee/members. It can be used outside of the core fundraising group to demonstrate credentials and support fundraising efforts for The John Roan Model United Nations team.
The document may be updated during the fundraising period.
Fundraising group - The core committee supporting the students of John Roan are Cath Smith, Principal of the John Roan School, Eve Daniels and Samantha Woodgate, Co-Chairs of the John Roan School Association, Ivis Williams, Treasurer of the John Roan School Association, Nick Mountfield, parent from the John Roan School and Ms Mason, lead adult during on the UN trip.
Other members, including students will support from time to time during the fundraising efforts bringing additional skills and support the fundraising efforts
Decision making - Nick Mountfield, as lead parent, will price up accommodation, flights and activities, all costs will be agreed with the Cath Smith, Principal of the school. To make this opportunity fully inclusive all those taking part, the fundraising committee will be accepting donations from families and the wider community to enable all students to take part in this opportunity.
• Costs will be transparent, enabling families to donate to their means
• All funds raised for the John Roan Model UN team are through the JRSA charity. Go Fund Me will process payment through their partner, PayPal Giving Fund, who will deliver the funds directly to the JRSA charity account.
• Go Fund me charge a charity fee of 1.9% plus 20p per donation.
• All donations made through PayPal Giving Fund programs are made to PayPal Giving Fund, a Donor Advised Fund ("DAF") recognized by the Internal Revenue Service ("IRS") under Section 501( c )(3) of the Code as a tax-exempt public charity (Federal Tax ID: 45-0931286. PayPal Giving Fund recommendations terms set forth in the Donor Terms of Service.
• PayPal Giving fund collect gift aid on behalf of the charity. Every taxpayer has the opportunity to declare they agree for PayPal Giving to collect gift aid on behalf of the JRSA.
• Payment is made by PayPal on or around 25th of every month, in nearly all cases within 10 to 40 days after PayPal giving funds receipt of funds.
• Costs for flights, tickets, activities will only be paid for after funds have been donated by donors to Go Fund Me and not before.
• Ivis Williams, Treasurer of the JRSA will pay all invoices through the JRSA bank account to suppliers or to the school upon invoice or receipt.
• All financial decisions made by Ivis Williams will be agreed by the fundraising group first and put in writing.
No single members of the group can make a decision relating to spend on their own.
Conflicts of interest - It is recognised that members of the fundraising group may have conflicts of interest, these should be declared. Where an individual has a conflict of interest the Principal of the school will make the final purchasing decision.
Time and Place of Meetings - From time to time it may be necessary to hold meetings to make decisions on spend. Suggested meeting platform via Teams. Meetings will be recorded for those that can't attend.
Ownership and control of funds - All donations collected by Go Fund Me are paid into the saving account of the JRSA by PayPal giving.
Fundraising scenarios - It is recognised that we may be faced with the following scenarios:
• We are unable to raise enough funds
• We raise too much
This project is fully inclusive to all those in the John Roan UN team, if funds aren’t raised for all those wanting to attend then monies raised will be refunded if the trip cannot go ahead. If too much money is raised the balance will be ringfenced for future Debate Mate opportunities within the school
Tax efficiency
The JRSA are a registered charity therefore able to claim gift aid on donations from tax paying donors. This will all be claimed through PayPal giving and the balance will be published when the fundraising has closed.
